Behind all four sits the platform-side Super Admin: tenant provisioning, plans and billing, usage monitoring and audit logs. Platform staff do not hold studio sign-ins and do not read student records; entering a studio requires a support session that is logged.

Three decisions

Money and trust belong in the system, not in goodwill.

None of the three below is a bullet on a feature list. They are what decides whether a studio can hand this system its money and its families.

The ledger cannot be edited

A balance is the sum of its entries, not a number somebody can type over. Every movement records who, when and why. Check-in deducts the credit automatically, and an insufficient balance is stopped at the door rather than discovered at month end.

Permissions live in the backend

Owner, manager, teacher, front desk, staff. The front desk can take a payment and cannot issue a refund; refunds and outbound sharing are the owner’s and manager’s alone. It is not a hidden button — the server refuses. That moves the pressure of saying no off your staff and onto the system.

Minors’ privacy

Over 200 tenant-isolation checks must pass before any release ships. Publishing a child’s work requires a recorded guardian consent, and consent and withdrawal are an append-only chain of events. Share links expire in 1–90 days and can be revoked at any time.

Is there a free trial?

No. Instead of a fourteen-day empty account, the evaluation is a 30-minute walkthrough in which we build a previewable portal live, using your studio’s own name, courses and work. You are looking at your studio before you decide, not at a demo studio.

What does the setup fee not cover?

It covers brand configuration, one reviewed migration of your student list and class-credit balances, team training and launch support. Outside it: implementation beyond that scope, migration clean-up, messaging provider fees, payment processing, custom domains and multi-campus aggregation. Each is scoped and quoted separately, and the final terms follow the signed order form.

Nobody on our team is technical. Is that a problem?

No. The four launch steps above are done with you, not handed to you, and they are covered by the setup fee. After that each role only ever learns its own screen — the front desk takes a payment, a teacher checks students in, the manager reads the books. Nobody has to understand the whole system to use their part of it.

If we leave, do we keep our data?

You keep your rights in your data and in the brand material you supply; we hold a limited right to host and process it in order to run the service. On termination a standard export is made available — the window for it, and the notice period for ending a monthly subscription, are set in the order form rather than asserted on this page. The full clause is in the terms of service.

Where do our students’ records live?

In Sydney, on Australian infrastructure (ap-southeast-2). Publishing a child’s work requires a recorded guardian consent, share links expire and can be revoked, and over 200 tenant-isolation checks must pass before any release ships. The service FAQ answers this in full, including the gaps — there is no multi-factor authentication yet, and backups do not have an off-box copy.

We have more than one campus.

Each campus runs as its own tenant, and that is a decision rather than a limitation: student records, staff membership, schedules, brand, plan — and backup, export, deletion and incident scope — stay independent per campus. Reporting across campuses is scoped separately, and does not merge their operational data.
